About the Ritz Theater
The Historic Ritz Theater at the Wayne Densch Performing Arts Center is a community-centered performing arts venue in downtown Sanford. We present live theater, concerts, film events, and community programming supported by ticket sales, rentals, donations, sponsorships, and grants.
Role Overview
The Contract Bookkeeper will manage the day-to-day financial recordkeeping of the Ritz Theater to ensure accurate, timely, and well-organized bookkeeping. This role is best suited for a highly detail-oriented professional who thrives in a small, mission-driven environment and can work independently with a consistent weekly cadence. You will work closely with the Executive Director and the Finance Committee to maintain clean records, support monthly reporting, and strengthen routine financial processes.
Key Responsibilities
Core Bookkeeping
- Record and categorize financial transactions accurately and consistently.
- Maintain the general ledger and ensure proper coding by department/program when needed.
- Track income streams such as ticket sales, rentals, concessions, sponsorships, donations, and grants.
- Track expenses including vendors, contractors, repairs, supplies, and operational services.
Reconciliations
- Perform monthly reconciliations for bank accounts, credit cards, and merchant services.
- Flag discrepancies and resolve issues in collaboration with internal staff.
Payables & Receivables Support
- Process and track vendor invoices and payments.
- Monitor accounts receivable for rentals, sponsorships, and other invoiced revenue.
- Provide aging reports and highlight past-due items.
- Process weekly employee payroll.
Monthly Reporting Support
- Prepare clean monthly bookkeeping close with organized backup documentation.
- Provide basic monthly financial summaries and reports for review by leadership/Finance.
Documentation & Controls
- Maintain orderly digital files for invoices, receipts, deposits, and reconciliations.
- Support consistent financial workflows and recommend practical process improvements.
Year-End & External Support
- Assist with year-end preparation and provide requested documentation for the outside CPA/tax preparer.
Qualifications
Required:
- 2+ years of bookkeeping experience (nonprofit or small organization preferred).
- Strong proficiency in QuickBooks Online (or comparable system).
- High accuracy, consistency, and attention to detail.
- Strong organizational habits and documentation discipline.
- Ability to work independently and meet weekly/monthly deadlines.
Preferred:
- Experience with performing arts organizations or event-based revenue models.
- Familiarity with tracking restricted vs. unrestricted funds (helpful but not required).
- Comfort reconciling data from ticketing systems or POS platforms.
Time Commitment & Compensation
- Time: 1 dedicated day per week, with some flexibility during the week (8–10 hours total) and occasional additional time during month-end or year-end as needed.
- Rate: $35–$40 per hour, based on experience.
- Contract Type: 1099 independent contractor.
