Many people believe they are using AI because they generate emails or summarize notes. That is a starting point, but it is not agentic AI. The real shift happens when AI is embedded directly into workflow and decision making.
Most organizations describe themselves as using AI when they automate small tasks such as drafting emails or summarizing meeting notes. While useful, those applications do not change how work flows through the business.
We recently built a simple lead management process using Power Apps with OpenAI that demonstrates the difference. When a lead enters through a form, AI classifies the industry, extracts the underlying business problem, and evaluates urgency and potential impact. It checks prior interaction history and determines the appropriate next action.
High value opportunities receive a tailored response and a priority follow up task. Lower value leads automatically move into a structured nurture sequence. The system handles triage, scoring, and routing without manual review, inbox management, or spreadsheet tracking.
This is the distinction between using AI as a tool and embedding it into operations. Agentic AI is not about writing better prompts. It is about designing systems that interpret input, apply reasoning, make decisions, and execute within existing workflows.
That is where measurable productivity gains begin to appear.
