Small Businesses Are Building Their Own AI. Few Are Keeping Track of It.

A new survey of more than 1,100 small and mid-sized business leaders found that two in three businesses using AI have built their own AI tools that are now in regular use. Far fewer have a clear process for reviewing those tools, and the gap is starting to show up in budgets and staff time.

Pax8, a technology marketplace that sells AI and cloud software to small businesses through IT service providers, released its Q3 2026 SMB AI Pulse Report on October 12. The survey of 1,150 leaders at companies with 5 to 499 employees in the United States, the United Kingdom, Germany and Sweden found that 67 percent of businesses using AI have built at least one AI solution that is now in regular use. It also found that 35 percent discovered AI tools or workflows running without official approval in the past six months, and that 49 percent of businesses paying for AI received a bill higher than they expected. In the United States, that figure was 57 percent.

The lesson for business owners is that adopting AI quickly and adopting it well are two different things. The same report found that 55 percent of decision makers spend three or more hours each week reviewing, editing or fact checking AI-generated work. That time is a real cost. The businesses getting the most from AI start with one specific, repetitive task, such as a weekly report, a routine customer inquiry or organizing intake data, and they decide in advance who reviews the output and what the tool is allowed to access.

Across Central Florida, small and mid-sized businesses that take this approach are turning hours of manual work into minutes with AI-assisted workflows inside tools they already pay for. A short written policy on which tools staff may use, one named person who approves new ones, and a monthly look at usage charges go a long way. None of this requires a large IT department.

The businesses seeing results treat AI as an operational improvement and give it the same oversight they would give any other system that touches customer data or company spending. They start with a defined business problem, apply AI in a targeted way, and measure the time saved after review is counted.
